The type of personal information we collect 

We currently collect and process the following information:

  • Names, addresses, emails and phone numbers of trustees of the charity
  • Names, addresses and emails of supporters of the charity and, where appropriate, their permission to claim Gift Aid on any donations
  • Information related to legacies left to the charity with copies of wills and other beneficiaries
  • Medical records of former patients of Burrswood
  • Application forms for grants and other details related to organisations given grants
  • How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • You are a trustee, and we need the information in order for you to fulfil your responsibilities as a trustee and to make the required statutory returns for the charity
  • You are a donor, and we need the information to record your donation, to thank you and to claim Gift Aid on your donation where applicable.
  • We have a legal duty to retain medical records of former patients for 7 years following g the closure of Burrswood.
  • We need the information about charities that we award grants to, including their bank details to pay them the grants awarded and to monitor the projects funded

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are: 

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting the Chairman as above

(b) We have a legal obligation.

(c) We have a legitimate interest.

How we store your personal information 

Your information is securely stored electronically, except for former patient records which are kept in the original written form in secure storage.

We keep contact information for supporters of the charity until individual supporters ask to be removed from our mailing list. Details are then removed from our data base.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information. 

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. Please contact us at office@burrswood.org if you wish to make a request
